Time Tracking and Compliance

GPS Time Clock Clock In at the Job Site, Not Somewhere Else

Hub confirms the team member's location at clock-in. Payroll runs from verified timestamps. No disputes, no buddy punching, FLSA-compliant records.

Built by ex-Google, ex-Salesforce engineers. FLSA time-tracking compliance built in.

The pain you recognize

Why unverified timesheets cost contractors money and compliance risk

Paper timesheets and self-reported hours create payroll risk on both sides: overpayment through fraud and underpayment through FLSA exposure.

Buddy punching inflates your payroll

When team members can clock in for each other from anywhere, payroll fraud adds up quickly. GPS-verified clock-in means the team member must be at the job site to start the clock.

Drive time vs. job time disputes are a management headache

Without location-stamped records, team members and managers disagree about when the job started, when breaks happened, and when the team member left. GPS eliminates the grey area.

FLSA requires accurate time records for non-exempt employees

The Fair Labor Standards Act requires employers to maintain accurate records of hours worked for all non-exempt (hourly) employees. Paper timesheets or self-reported hours do not hold up in an audit.

Paper timesheets are manual, slow, and error-prone

Collecting, reading, and entering paper timesheets adds hours of admin work every payroll cycle. GPS time clock exports directly to payroll, no data entry.

Step 1: Tech arrives at job site

Hub detects the team member's proximity to the job address (configurable radius, typically 500 feet). Clock-in option activates.

2

Step 2: Tech clocks in from their phone

One tap in Hub. Location and timestamp recorded. Clock-in denied if the team member is not within the configured radius of the job address.

3

Step 3: Tech clocks out at job completion

Clock-out records location and timestamp. Hours calculated automatically. Hub marks the job with total time on site.

4

Step 4: Time records export to payroll

All hours, locations, and job assignments are available in payroll export format. FLSA-compliant records stored for 3 years by default.

Real example

GPS time clock in practice

Three real scenarios showing how Hub handles clock-in verification and time disputes.

Tech attempts to clock in a co-worker remotely; Hub blocks it

Persona

An HVAC company had two techs who occasionally clocked in for each other on slow mornings. Hub ended that immediately.

  1. 8:03 AM
    Tech A (at home)

Attempts to clock Tech B into the Riverside job using Tech B's credentials.

  2. 8:03 AM
    Hub

Detects Tech A's GPS at home address, 4.2 miles from job site. Clock-in blocked.

Clock-in blocked. Your location (home) is 4.2 miles from the job site (500 Riverside Ave). Please clock in when you arrive at the job.
  3. 8:04 AM
    Manager

Receives alert: failed clock-in attempt flagged for review.

Outcome

No buddy punching since GPS clock-in was enabled. Managers stopped receiving calls about time discrepancies.

Before vs. after

Reimagine Hub vs. ServiceTitan, Jobber, and TSheets on GPS time tracking

Without Reimagine Hub

  • Paper timesheets collected weekly (error-prone, slow)
  • No verification that the team member was actually at the job site
  • Buddy punching possible; payroll inflation risk
  • Drive time and job time disputes unresolvable without location data
  • Manual data entry from timesheets to payroll software

With Reimagine Hub

  • GPS-verified clock-in confirms team member is at the job address
  • Buddy punching blocked at the system level
  • All time records include timestamp and GPS coordinates
  • Disputes resolved with the Hub location log
  • Payroll export directly from verified time records

What sets us apart

How Reimagine Hub compares to ServiceTitan, Jobber, and TSheets

Standalone time trackers do not connect to jobs. Hub links every hour to a specific job automatically.

ServiceTitan

What it is
Enterprise field service management platform
Limitation
Time tracking available but GPS geo-fence enforcement on clock-in requires higher-tier plan
Hub
GPS-verified clock-in included in every Hub plan, not gated behind a higher tier

Jobber

What it is
Scheduling and invoicing for small service businesses
Limitation
Time tracking exists but no GPS geo-fencing; team members can clock in from anywhere
Hub
Hub enforces geo-fence at the moment of clock-in, not after the fact

TSheets (QuickBooks Time)

What it is
Standalone time tracking software
Limitation
GPS tracking available but separate from the job management system; records must be manually matched to jobs
Hub
Hub links every clock-in to the specific job record automatically, no matching required

Technical honesty

When GPS time clock has limitations

GPS verification works for most field service scenarios, but a few environments need adjustment.

Indoor jobs with poor GPS signal (basements, large metal buildings) where geo-fence may need to be expanded

Jobs on large sites (warehouses, campuses) where the address may not match the actual work location

Salaried (exempt) employees who are not subject to FLSA hour tracking requirements

What Hub does instead

Hub lets managers expand the geo-fence radius per job type or manually approve out-of-range clock-ins. Exempt employees can be set to 'no geo-fence required' in their team member profile.

Comes with the Hub

Where the GPS time clock fits inside the Reimagine Hub

The GPS time clock connects to the job record (so every hour logged is linked to a specific job), the payroll export (so hours feed directly into commission and wage calculations), and the scheduling module (so actual time on site can be compared to the catalog's standard labor time). All location records are stored with the job and accessible to the business owner. Team members see their own hours; managers see all team members.

Glossary

Glossary: time clock and compliance terms explained

Plain-English definitions for GPS time tracking and labor law concepts.

Geo-fence
A virtual boundary around a physical location. Hub creates a geo-fence around each job site address. Clock-in is only allowed when the team member's GPS is inside the geo-fence.
Buddy punching
Payroll fraud where one employee clocks in or out for another employee. GPS geo-fencing prevents buddy punching because the clock-in requires physical presence at the job site.
FLSA (Fair Labor Standards Act)
US federal law requiring employers to maintain accurate records of hours worked for all non-exempt (hourly) employees, including start time, end time, and total hours. Hub's GPS records satisfy this requirement.
Non-exempt employee
An employee who is entitled to overtime pay under FLSA (typically hourly workers). Field service team members paid by the hour are usually non-exempt and subject to FLSA hour tracking requirements.
Time correction request
A team-member-submitted request to adjust a clock-in or clock-out timestamp when a legitimate error occurred (e.g., forgot to clock in, phone died). Hub logs the correction request and manager approval in the audit trail.

FAQ

Frequently asked questions about GPS Time Clock

How does Hub verify the team member's location at clock-in?

Hub uses the phone's GPS to check that the team member is within a configurable radius of the job site address (default 500 feet). If the team member is outside that radius, clock-in is blocked with a location error.

What if the job site has poor GPS accuracy (indoor, dense urban)?

You can expand the geo-fence radius for specific job types (e.g., high-rise buildings, basement work). Hub logs the expanded radius in the time record. Managers can also manually approve clock-ins that fall just outside the geo-fence.

Does Hub track the team member's location throughout the shift, or just at clock-in/out?

By default, Hub only records location at clock-in and clock-out. Continuous location tracking during the shift is an optional setting that must be enabled by the business owner and disclosed to employees.

Are GPS time records legally admissible for FLSA compliance?

Yes. GPS-stamped records with timestamp, location, and employee ID meet FLSA record-keeping requirements for non-exempt employees. Hub retains records for 3 years by default.

Can team members dispute a missed clock-in?

Yes. Techs can submit a time correction request in Hub. The manager receives the request, can view the GPS context, and approves or denies. All corrections are logged in the audit trail.
